1. Acknowledgment of Activities

I, the undersigned participant (or parent/guardian if applicable), understand that participation in activities at Pixel Planet, including use of the pixel grid and virtual reality (VR) simulator equipment, involves physical movement, immersive digital environments, and sensory stimulation.

These activities may include, but are not limited to:

• Rapid or unexpected visual and audio effects

• Full- or partial-body movement

• Balance challenges

• Motion simulation

• Immersive VR experiences that may feel realistic

2. Assumption of Risk

I understand and acknowledge that participation in activities at Pixel Planet , including the pixel grid and VR simulator experiences, involves inherent risks associated with physical activity, flashing lights, motion simulation, sensory stimulation, and immersive digital environments.

These risks may include, but are not limited to:

• Dizziness, nausea, or motion sickness

• Disorientation or loss of balance

• Trips, slips, or falls

• Collisions with objects or other participants

• Photosensitive or sensory reactions, including seizures or other symptoms triggered by flashing lights or patterns (e.g., in individuals with epilepsy or photosensitive epilepsy)

• Muscle strain or physical discomfort

• Aggravation of pre-existing medical conditions

• Other minor or serious injuries that may occur despite proper supervision and safety measures

I understand that these risks may be known or unknown, anticipated or unanticipated, and I voluntarily choose to participate, fully accepting and assuming responsibility for all such risks, including serious injury or death.

I confirm that I have disclosed any medical conditions, including epilepsy or photosensitive conditions, that could increase my risk, and I agree to follow staff instructions and remove myself from the activity if I feel unwell or unsafe at any time.

3. Health & Safety Confirmation

I confirm that:

• I am physically able to participate in these activities.

• I do not have medical conditions that may increase my risk (e.g., seizures, heart issues, severe motion sickness, vertigo).

• I will notify staff immediately if I feel unwell or unsafe.

• I will follow all instructions from Pixel Planet staff.

4. Food & Drink Policy

To ensure the safety of all participants and to protect Pixel Planet's equipment:

• No food or drink is allowed inside the venue, except for bottled water.

• Water may only be consumed outside of the gaming grid area and never near the VR simulators.

• I understand that spills may cause equipment damage or create safety hazards, and I agree to follow this policy strictly.

• Pixel Planet reserves the right to ask participants to store or dispose of drinks before entering .

5. Dress Code & Required Footwear

To ensure safety and comfort while using Pixel Planet’s equipment:

• Participants must wear comfortable, secure footwear suitable for movement.

• High heels, open-toed shoes, flip-flops, or any unstable footwear are not allowed on the pixel grid or near VR simulator areas.

• Clothing should allow free movement and should not include long dangling accessories or sharp items.

• Pixel Planet may refuse participation to individuals wearing unsafe attire.

6. Personal Belongings

I acknowledge the following:

• Pixel Planet is not responsible for the loss, theft, or damage of personal belongings, including phones, bags, jewellery, clothing, or electronics.

• It is recommended that personal items be stored safely and not taken onto the pixel grid or into the VR area.

• Loose items may pose safety hazards and may be required to be removed before participation.

7. Group Booking Clause

For group events, parties, or bookings:

• The Group Organiser agrees to ensure all participants have signed this waiver.

• The Group Organiser is responsible for communicating all safety rules to their group.

• The Group Organiser assumes liability for any guest who participates without submitting a completed waiver.

8. Accuracy of Information

I confirm that all information I provide to Pixel Planet including age, medical disclosures, and contact details is accurate and truthful.

Pixel Planet is not liable for injuries or issues arising from false or incomplete information provided by me or a group organiser.

9. Data Use Consent

By signing this waiver, I consent to Pixel Planet:

• Collecting and securely storing my contact details and participation records

• Using my information for safety, booking management, and communication

• Contacting me for follow-ups if needed

My data will not be sold to third parties. I may request to access or delete my data as allowed by law.

10. Release of Liability

I waive, release, and discharge Pixel Planet, its owners, employees, and affiliates from any liability for injury, loss, death, or property damage arising from participation, except in cases of gross negligence or intentional misconduct.
I agree not to bring claims related to normal risks associated with these activities, including the risk of serious injury or death.

 

​​​​​11. Equipment Responsibility

I agree to:

• Use equipment safely and responsibly.

• Follow all instructions from staff.

• Refrain from misuse, roughness, or intentional damage.

I understand I may be held financially responsible for damage caused by improper use.

12. Photo/Video Release

I give permission for Pixel Planet to take photos or videos of my participation for promotional, safety, or training purposes.

13. Minors

For participants under 18: A parent or legal guardian must consent to the minor’s participation, agree to all terms of this waiver, and assume all risks on behalf of the minor, including the risk of serious injury or death.
